YES3 Exporter

YES3 Exporter II

Release Date:        Nov 2025 (v2)

Funding Source:   NIH P30AG021342

YES3 Exporter II extends REDCap’s native reporting and data export capabilities, providing advanced functionality tailored for statisticians and data managers managing datamarts, particularly SAS datamarts (with R support in development).  You can compare export functionality here.

You might interseted if:

  • You need horizontal (wide-format) data exports.
  • You want automatic descriptive statistics with exports.
  • You rely on SAS datasets optimized for data storage.
  • You require advanced SAS format management.
  • You plan for automated datamart deployment (future release).

Key Features

Generates “horizontal” exports that create one column per event–field combination, producing datasheets that support longitudinal analysis and import into statistical environments.

Optionally generates execution-ready SAS code for dataset creation and format library setup. Code is tailored to the export specification, with:

  • Character variable lengths tuned to observed maximums (to minimize storage).
  • Input programs designed to abort on error (no overwrite of existing datasets).
  • Format libraries shared across variables and generated only as needed.

Full control over how data are rendered and protected:

  • Choose comma-delimited (CSV) or tab-delimited (TSV) formats.
  • Exclude PHI, free text, and/or date fields to align with REDCap’s de-identification options.
  • Apply REDCap-compatible date shifting and record hashing (validated through REDCap v15.5).
  • Convert data to pure ASCII and optionally drop unprintable UTF-8 characters (newlines and tabs are converted to spaces).

Each export produces an Excel-friendly CSV data dictionary that includes detailed data distribution summaries for every exported column.

Depending on field type, summaries include:

  • Univariate statistics: n, mean, min, max, sample SD, sum, and sum of squares.
  • Date/time summaries: formatted mean, min, and max values.
  • Frequencies (JSON structure): categorical value distributions.
  • Maximum observed string lengths for text fields to support optimal dataset storage configuration (SAS, R, SPSS, etc.).

Exports can be organized by form, event, or both, supporting a structured, hierarchical view of project data that aligns with REDCap’s metadata structure.

Rigorous audit trails on export activity, ensuring traceability and reproducibility:

  • Complete export audit logs with optional daily email summaries.
  • Version rollback- restore any export specification to a previous version

Instructions are incorporated into the User Interface (UI) and include:

  • Dynamic tooltips on every interactive element (buttons, text boxes, etc.).
  • Movable and resizable pop-up help windows with detailed explanations for specific functions.
  • Linked technical documentation with searchable, topic-specific content.

Get Started

YES3 modules are supported through software development grants and individual research grants.

  • For Yale/YNHH users, YES3 modules may require fees for local support and implementation.
  • For the global community, YES3 modules are made available at no cost for implementation through the Vanderbilt Consortium.
    • Administrators should familiarize themselves with the software to provide local support

This work was funded by the NIH through:

EM documentation contains the funding source and grant number.  If you used YES3 software to support your research, we greatly appreciate an acknowledgement of the software, funding source, and grant number so we can continue this important work.

Original YES3 Exporter

Exporter II (released Nov 2025) is the successor to the original YES3 Exporter (released Aug 2022) and may operate alongside it. While both modules can remain active, the original Exporter is being retired from active development and support. Future updates and enhancements will apply exclusively to Exporter II, and users are encouraged to migrate as workflows allow.
